Refund Policy
Refund eligibility, cancellation terms, and deposit conditions for Systemhemlock consultation services.

Overview
Systemhemlock Portfolio Records Ltd. provides in-person and video consultation services with defined deliverables. This policy explains when refunds apply.
Consultation deposits
Annual Rebalancing Record Sessions and Estate Handover Record Packs require a 30% deposit to hold your session date. Deposits are refundable if you cancel more than 7 days before the scheduled session.
Deposits are non-refundable if you cancel within 7 days of the scheduled session or do not attend without prior notice.
Full refunds
You receive a full refund if:
- We cancel your session due to staff unavailability and cannot reschedule within 21 days
- You cancel more than 7 days before a session for which no deposit applies (Opening Snapshot, Mid-Year Drift)
- We fail to deliver your bound record within 15 business days of session completion without agreed extension
Partial refunds
Partial refunds may apply when:
- You cancel within 7 days of a session with a deposit — deposit is forfeited; any amount paid beyond the deposit is refunded
- Work has not yet begun on your bound record and you cancel after the session but before draft delivery — up to 50% of the session fee refunded
- A revision round exceeds the one included revision due to errors in our compilation — we extend revision at no charge rather than offering partial refund
Non-refundable items
- Deposits forfeited under the 7-day cancellation rule
- Rush binding surcharges once binding has commenced
- Sessions completed and bound records delivered
- Materials purchased specifically for your engagement (archival binding, registered post) once ordered
Refund process
Email hello@systemhemlock.click with your name, session date, and reason for the refund request. We confirm eligibility within 3 business days and process approved refunds within 14 business days via the original payment method (bank transfer).
Rescheduling
You may reschedule once without penalty if you notify us at least 7 days before your session. Rescheduling within 7 days is treated as a cancellation under the deposit rules above.
No-shows
If you do not attend a scheduled session and did not cancel, the full session fee is due. No refund applies.
Work already started
If we have begun compiling your record during a session that you leave early, the session fee is due in full. Partial completion does not qualify for proportional refund unless we failed to deliver agreed materials.
Disputes
Refund disputes are handled under our Terms of Service, governed by the laws of the Republic of Korea.
