Our Record Process
How Systemhemlock compiles annual rebalancing records for manually managed cold portfolios — from inquiry to bound delivery.
Why a written record matters
Hardware wallets do not produce annual statements. Exchange exports are irrelevant when you never log in. Holders who rebalance manually accumulate trade notes, sticky labels, and mental models that fragment over time. A written record — compiled while you read your own balances — gives executors, tax preparers, and future-you a single dated source.
The five stages
Inquiry and scope
You describe your device count, rebalance frequency, and whether you need baseline, annual, mid-year, or estate documentation. We reply with a written estimate within two business days.
Pre-session questionnaire
A paper form listing device labels (e.g., "kitchen drawer Ledger"), target allocation percentages, and rebalance months. You complete this at home — no seed phrases, no private keys.
Working session
At our Ulsan office or by secure video, you read balances from your own devices. We compile allocation charts and trade chronology in real time, cross-referencing your handwritten log page by page.
Draft review
A PDF proof arrives within three business days. You verify figures against your devices. One revision round is included if you discover a missing trade within 14 days.
Bound delivery
Numbered pages, tamper-evident binding, ink stamp, and dated attestation. Collect from our office or receive by registered post within ten business days of session completion.
What to bring
- Handwritten trade log for the current calendar year
- Printed allocation target sheet
- Each hardware device, charged and accessible
- Reading glasses, if you use them — we work from your screen
What stays at home
Seed phrase backups, private key printouts, and exchange credentials. We document device labels and backup locations (room, container type) — never the secrets themselves.
